Application for Approval Forms Menu

  Find your project below. Click on the box. That will take you to the form to fill out and submit.
  Doing this will start the process for the board to approve your project. This will speed-up the processing of getting approval.
  Doing this is not the approval, only a request for the board to review and vote for approval of your project. Do you need a Martin County Permit?

We attempt to respond within 48 hours or less. Some circumstances beyond our control may extend that time. Normally we reply within 24 hours or less. This form is a starting process. We will let you know if we need more information in our reply. After the board has completed their review for approval or no approval, you will be sent a copy of our approval by PDF or an email explaining no approval.

Don't Start Exterior
Projects Without Approval

Any project that can change the visual appearance of your property or can create safety issues will need approval before starting.
  • New house or any large area lot clearing needs to be approved so that native trees are not mistaken for invasive trees. Without this approval your project will be stopped untill approval is done. Also, Martin County permit is required for land clearing.
  • Landscape work to remove invasive species and/or dead or dying foliage does not need approval unless it falls into the "clearing" catagory mentioned in the above paragraph. Trimming foliage, also, does not need approval. Here is the invasive species list found in our covenants:
    • Australian Pine
    • Brazillian Pepper
    • Carrotwood
    • Cat-claw Mimosa
    • Ear-leaf Acacia
    • Eucalyptus
    • Ficus Trees
    • Melaleuca
    • Silk Oak
  • Plants native to this area include pines, oaks, myrtle, holly, and saw palmetto.

Why This Form is Best?

We have an ongoing goal to correct the situations of the past. There were huge delays in getting approval for a project and there was a constant information gap regarding what was needed to be approved and how it was done. With this form, Sugarhill owners can instantly see what our covenants and bylaws require for approval. They can enormously speed the approval process by providing the information needed for those approvals with this form.
  • Delays— Things are greatly improved when you are the person entering the information for the board to review. You actually become a part of the Association team of volunteers by cutting down on the board having to search out the information for your project. When you provide us with information like permit status, contractor website, product website links, etc. things start to work much faster. This allows us to review fully and make the approval.
  • A Proper Approval Document— is the end result that can be used by you to clear the start of work for the many contractors that require association approval and to file the approval in the event of a future dispute of any kind.

Some Browsers Fill Too Much with Autofill

Some browsers may populate unwanted fields. If this happens you may start over by ↻ refreshing the page or going through the form looking for fields that shouldn't have filled and deleting the wrong data.
  • This is often a problem with larger forms but it is completely different depending on the browser you are using and the browsers change their autofill standards often.
  • Try one field and if it fills more than it should refresh the page then try just typing your name in the name field without selecting an autofill button. Autofill may just fill that field only.
  • If it worked and only filled that field without others then repeat what you did for the fields you want filled.
  • We are sorry for the inconvenience created by this issue. We expect eventually all browsers will use the same standards but for now they don't.

Who Want's to Catch Flies?

So this is a very old expression. Dates back to the 1500s. It's literal meaning refers to how flies will get stuck in honey and stay away from you (a good thing).

The human relationship meaning refers to how you treat people. Treat them with sweetness (kindness, compassion, consideration) and you don't have as many problems (flies bothering you). Treat them nasty (vinegar) and your problems will never go away.

We believe in this motto and try to live by it.
