2020 Archived Board Activity

  • After an unprecedented number of complaints and incidents, the board is now researching options to control high speed driving in Sugarhill. Here is a list of controls we are reviewing.
    Almost all the complaints are pointed at resident owners doing this high speed (often 40+ mph) driving throughout our winding streets. Sugarhill is peppered with hilly blind corners and relative heavy foliage making these blind curves worse than most South Florida roads. This is a recipe for disaster.
    Consider this scenario, you're topping a hill at 35mph and you enter a blind curve that starts immediately after the top of the hill. You roll over the hill and into the curve then suddenly hit a 7 year-old on her bicycle. She's dead and your life has suddenly taken the most serious permanent turn imaginable.
    THINK ABOUT IT. SLOW DOWN. 20 mph is our community speed.

  • We had the roof change amendment, regarding the change to allow standing seam metal roofs, recorded in the Martin County public records by the Association attorney on October 29, 2020. Here is the Certificate of Amendment to the Amended Declaration of Protective Covenants Covering All of Sugar Hill Subdivision.11/12/20
  • 2/4/20 Nominations are now closed for position/s available on the board of directors. Please visit elections page.

    FYI:

    • 2005 Amended By-Laws, Article V Section 1: The Nominating Committee shall meet at least 60 days prior to the Annual Meeting or whenever requested to meet by the Board. The Nominating Committee shall make as many nominations for election to the Board of Directors as it shall in its discretion determine, but not less than the number of vacancies that are to be filled.
    • There are 2 positions available for election this year. After extensive research into previous boards term limits and the need for board staggering our attorney has determined we need one current officer to run and (since we have been without a fifth board member due to a resignation) a new person will be filling that position making an election of two.
    • As of 12-16-19 the nominating committee indicates there are enough applications to proceed without having to appoint as our documents require: 2005 Amended By-Laws, Article V, Section 1 "In the absence of sufficient qualified nominees, the board shall place an appropriate number of director candidates on the ballot for the election." This is good and we still would like candidates to apply before the 12-20-19 closing.
    • 12-29-19 is 60 days before our meeting. We are closing submissions so the committee is being allowed time to review before submitting their report. Our closing the submissions 9 days before the report is due helps the committee make their review. If you have a submission before the end of the 9 days we will accept it. Please make late submissions as early as possible. None will be accepted after 12-29-19

  • 7-1-19 ❖On April 29 our Association Attorney Lance Clouse of the Becker Law Firm announced he was moving out of the area. With a diligent search and at the recommendation of Lance we have met with and are subsequently using Jacob Ensor of the law firm Ross Earle Bonan & Ensor, P.A.. Jacob, like Lance, is Board Certified in Condominium and Planned Development Law. He is well versed in electronic voting and has numerous associations that use electronic voting. Read his bio and review this excellent law firm.
  • We are currently scanning the Bylaws into html format by way of Optical Recognition Software. Soon the Bylaws will be available at this website at the Covenants & Bylaws page. Following the Bylaws we will do the same for the Covenants. They will take longer. The essential "New Owner" package former boards used is linked on that page now in a very long pdf.
  • 9/16/19 A single item Special Meeting is being scheduled for Thursday, January 16th at the Senior Solutions Meeting Room. Purpose will be to add a line to the protective convenance that will allow Board approved Standing Seam Metal roofs. Information about the change is here "Roofing Options in Sugarhill." The 70 consenting electronic voters will receive a mailed postcard followed by an email from electionbuddy.com with their link to the ballot. They can vote then and may attend the meeting if they want but not required. ALL VOTES ARE IMPORTANT TO INSURE QUARUM OF 48. Paper ballot voters will have their "ballot package" mailed at the same 30 days in advance and will process the same as in previous elections with ballot, mail-back envelope, secret envelope, proxy etc. One difference will be a 16 digit Access Key printed on the back that will ensure 1 only vote per ballot integrity. Paper ballots will be entered into electionbuddy.com at the meeting using the key and for accurate tally purposes.

2019 Archived Board Activity

  • 1/30/20 This item is no longer correct. We have a new locationWe will be conducting our monthly meetings on the last Thursday of the month at 6:30pm unless otherwise noted. Our notifications will be huge on the bulletin board 48-96 hours in advance. This website will have front page notification 48-96 hours in advance as well. The location for our monthly meetings will be at Holly Creek POA's Clubhouse located at 3200 NE Holly Creek Drive off of Jensen Beach Blvd.
  • 9/16/19 ❖We contracted Meeks Plumbing Vacuum & Pump Truck Division to clean the storm drainage system throughout Sugarhill. This is an ongoing need that protects our roads from being washed out in the event of huge rainfall. It, also, helps prevent water backing up in areas it shouldn't. The vacuum truck worked in Sugarhill in the areas shown as black rectangles and heavy straight lines on this map. They cleared a-lot of material. Their service revealed a need for this to be done more frequently than it has been done in the past. We intend to do this every 3 years.ARCHIVED 12/28/19
  • 9/16/19 ❖We are sad to announce the resignation of Board member Bruce Somers for health reasons. Bruce has been very helpful with all aspects of this new board. We are hoping for his speedy recovery and we will miss him on the Board. In honor of our good friend you will find his name with a strike-through on many of our documents and website. Update 9/15/19: Bruce has been cleared of his medical problem! Great News. Unfortunately the need to resume his career overrides his desire to be on the board.

  • Big Update - County Reworks The Drain Pipe A few months back we toured the drainage systems throughout Sugarhill to be certain everything was being kept up and maintained. A big change has happened since that review of the old main drain for the entire community that is located South of Lot 89. The old drain has been significantly improved by the County. I changed the link "main drain" to include a photo of the new drain. ARCHIVED 7/12/19
  • We have done the necessary steps to assure our meetings can be held at Holly Creek POA's Clubhouse located at 3200 NE Holly Creek Drive off of Jensen Beach Blvd. It's a very good place for our meetings. The Woman's Center is up for sale and we think it is best to have a different location secured. Likelihood is we will be using the Woman's center for meetings as long as we can. Woman's Clubhouse sold in January 2019 and will no longer be available for our meetings.

  • At our last Board meeting a long term resident recommended to us the accounting firm Patterson Accounting a Stuart firm. We would like to thank that member for coming forward with that information. John Doty and Dan Smith met with Peggy Paterson for a very informative 2 hour meeting. Her quotation is 20% less than CRI Accounting, our previously pursued intent. Her service is more personalized and comparable, both items we were looking for. We unanimously believe this is a good choice for Sugarhill.

  • A VERY BIG THANK YOU goes out to all the many neighbors who have shown their appreciation for us doing this.
    We have now reopened the passthrough of the fence into Winn-Dixie to the way it was for years prior to the hurricane last year. The passage is 30" wide. We have conferred with the irrigation service regarding the sprinkler system in that area. All the irrigation is next to the hedge and has no involvement with parallel-to-the-street parking. We are keeping the no parking signs where they have been. The last northernmost no parking sign has a no-parking-here-to-corner modification. This will limit the parking to the area adjacent to the fence opening. We hope, at some point, to pave an apron for parallel parking much like what exists on the East side of Sugarhill Ave in front of the Women's Center. Our observation of the damage to the light posts and the electrical boxes on those posts indicates that all the damage is being done by the lawn service. No damage is being done high enough to be caused by trailers or cars. With the new passthrough and the restricted parking there is only one light post that can possibly be damaged by cars. That light can be protected with a 24-36" metal post painted to match the light post. One thing should be noted here. We did not do anything different, with the opening of this passage, that hadn't already existed prior to hurricane Irma for many years.

2018 Archived Board Activity

  • We have repaired the leaky bulletin board. All the cork board inside the case was warped and moldy. We now have it ready for new information. It is also fully magnetic material that won't deteriorate and can be written on with chalk markers used commonly by restaurants for sidewalk menus. We would like to make one side accessible to the community for lost dog/cat etc. announcements. Another item for the upcoming survey.

  • Certain legal actions the previous Board instigated against some of our owners, that this Board disagreed with, have been stopped.

  • Signature Property Management has been stopped in it's duties regarding inspections of our homes and properties. We are required to keep their contract through October. They will be performing their financial services during that time. We are vetting accounting companies to take over financial services after October. ARCHIVED 10-9-18
  • We have completed a full community list of primary emails for the one-survey-per-lot system that will ensure fair surveys.

  • As we have mentioned before we believe the Association's financials would benefit from the safe and watchful eye of a bookkeeper/accounting firm. Currently we are vetting two excellent options. We have already had a meeting with Carr Riggs & Ingram , the firm that did the Association's taxes last year.
    The second company we are exploring is Rehmann a firm we have not yet met with but hope to before our next meeting Nov. 29th.

Who Want's to Catch Flies?

So this is a very old expression. Dates back to the 1500s. It's literal meaning refers to how flies will get stuck in honey and stay away from you (a good thing).

The human relationship meaning refers to how you treat people. Treat them with sweetness (kindness, compassion, consideration) and you don't have as many problems (flies bothering you). Treat them nasty (vinegar) and your problems will never go away.

We believe in this motto and try to live by it.
